Room Rates

Different rates that you use to rent out the rooms in your inn are defined in this screen. The rates that you add here will be available in the Reservation screen. The charges for a room is calculated based on the rates that you attach to it. You are also given the option of selecting the days that you want to apply surcharges, in addition to the base amount. To access the Room Rate screen, click on Setup > Room Rate in the main menu. The Room Rate screen is displayed as shown below.

To Add Room Rates

1.   Click on the Add button. Select the Rate Type from the list provided. The following Rate Types are available

·    Daily - rates will be calculated for each day based on the amount entered.

·    Weekly - rates are fixed for a week. Even if the guest does not stay for exactly a week, the rate will be divided by 7 and charged accordingly.

·    Monthly - rates are fixed for month. Even if the guest does not stay for a month, the rate is divided by 30 and charged accordingly.

2.   The cursor is placed on the Name text box. Enter the Name of the rate.

3.   Enter the Base Amount.

4.   If you want to apply a weekend surcharge for this rate, enter the Weekend Surcharge.

5.   Enter Extra Person Charge. You can attach an extra persons charge to each room rate. In the following point you will enter the maximum number of people that can stay in a room for the selected rate. If the actual number of people that stay are greater than the maximum number of guests, then an extra persons charge is added to the room total for that reservation.

6.   Enter Maximum # of guests that can stay in the selected room for this rate.

7.   If you enter the Weekend Surcharge, then select the days that you want to apply the surcharges for by clicking on the appropriate check boxes. Surcharges can be applied for Thursdays, Fridays, Saturdays and Sundays. So, when reservations are made, when the days fall on those particular days of the week, additional surcharge is added to the room total.

8.   Then click on the Save button.

To Modify Room Rates

1.   Select the Room Rate that you want to modify from the Room Rate Listing table found in the lower portion of the screen.

2.   Rate information is displayed in the appropriate text boxes.

3.   Make the required modifications and click on the Save button. The modified room information is added to the Room Rate List in the lower portion of the screen.

To Delete Room Rate

1.   Select the Room Rate that you want to delete from Room Rate Listing table found in the lower portion of the screen.

2.   Click on the Delete button.

3.   A message box “Are you sure you want to delete this Room Rate” appears. Click on “Yes” if you are sure you want to delete this rate. Click on “No” if you do not want to delete this rate.

To Exit the Room Rate screen

Click on Close button to exit the screen.
