Guest Information Screen |

Details of all guests that visit your inn are added and maintained in this screen. To access the Guest Information screen, click on Guest > Guest Information item in the main menu. The Guest Information screen is displayed as shown below.

To Add Guests
1. Click on the Add button.
2. The cursor is placed on the Last Name text box. Enter last name of the guest. Then continue entering the First Name, Address, City, State, Zip and Country information.
3. Then enter the Last Name 2 and First Name 2 of accompanying guest if any.
4. Enter Home Phone, Business Phone, Fax, E-mail Address and Company Name of the guest.
5. The Guest ID for this guest is automatically generated.
6. Select the Visit Type from the list provided. The types of visits listed here are the ones added in the Visit Types screen.
7. Select Referred by from the list provided. The items listed here are the ones added in the Referrals screen.
8. Enter the birthday of the guest in Birthday – 1 and the accompanying guest in Birthday – 2. Enter Anniversary date if applicable.
9. Enter Notes, which are specific to this guest if any.
10. If the guest has stayed at your inn earlier, details of previous visits will be listed under the History Information.
11. After entering the guest information, click on the Save button.
To reserve a room for this guest
Click on the Reservation button to reserve a room for this guest in the Reservation screen.
To send an Inquiry letter to this guest
Click on the Letter button to print an inquiry letter for this guest.
Note: A letter named Inquiry should have been saved in the Letters module to be automatically printed here.
To print guest information
Click on the Print button to print information on this guest.
To delete a guest
Select the particular guest's record using the Search feature. Then click on the Delete button.
