Unit Rates


Different rates that you use to rent out the units in your property are defined in this screen. The rates that you add here will be displayed while you make a Reservation. You are also given the option of selecting the days that you want to add surcharges to the rack rate. To access the Unit Rate screen, click on Setup > Unit Rate in the main menu. The Unit Rate screen is displayed as shown below.

Regular Rate

Add Regular Rates

1.   Click on Add button.

2.   Select Rate Type from the list provided. The following Rate Types are available:

·    Daily - rates will be calculated for each day based on amount entered.

·    Weekly - rates are fixed for a week. Even if the guest does not stay for exactly a week, the rate will be divided by 7 and charged accordingly.

·    Monthly - rates are fixed for a month. Even if the guest does not stay for a month, the rate is divided by 30 and charged accordingly.

  1. The cursor is placed on the Rate Name text box. Enter the Name of the rate.

  2. Enter Rack Rate (Base Amount.)

  3. If you want to apply a weekend surcharge for this rate, enter Weekend Surcharge.

  4. If you enter Weekend Surcharge, then select the days that you want to apply surcharges for by clicking on the appropriate day(s). For example, if you want to apply surcharges for Saturday and Sunday, click on the check boxes representing Saturday and Sunday.

  5. Enter Extra Person Charge. Based on the Maximum Number of People that are allowed to stay in a specific room for a specific rate, an extra person charge is levied for each day that the guest stays in that room.

  6. Enter Maximum Number of guests that are allowed to stay in this room at this rate. If number of people staying in the room exceeds the maximum number of people allowed, then, an Extra Person Charge is added to the Room Total.

  7. Then click on the Save button.

 

Seasonal Room Rate

To add a Seasonal Rate, you have to first define it under the Regular Rate screen. Then, the different seasons and its corresponding rates and dates are defined in this screen. When seasonal rate is not defined for a period, the regular rate is taken by default. If seasonal rates are defined, the seasonal rate overrides the regular rate.

  1. Click on Add button.

  2. The cursor is placed on the Rate Name text box. Select Rate Name from the list. These rates have to be defined first in the Regular Rate screen.

  3. Enter Rack Rate (Base Amount.)

  4. If you want to apply a weekend surcharge for this rate, enter Weekend Surcharge.

  5. If you enter Weekend Surcharge, then select the days that you want to apply surcharges for, by clicking on the appropriate day(s). For example if you want to apply surcharges for Saturday and Sunday, click on the check boxes representing Saturday and Sunday.

  6. Enter Extra Person Charge. Based on the Maximum Number of guests that are allowed to stay in a specific room for a specific rate, an extra person charge is levied for each day that the guest stays in that room.

  7. Enter Maximum Number of Guests that are allowed to stay in this room at this rate. If the number of people staying in the room are exceeds the maximum number of people allowed, then, an Extra Person Charge is added to the Room Total.

  8. Specify the From Date when you want this seasonal rate to take effect.

  9. Specify the End Date when you want this seasonal rate to end.

  10. Then click on the Save button.

Now, select this Rate as the Default Rate that the unit it was created for under the Units screen.

Modify Unit Rates

  1. Select the Unit Rate that you want to modify from the Unit Rate Listing table found in the lower portion of the screen.

  2. Rate information is displayed in all the text boxes.

  1. Make the required modifications and click on Save button. The modified unit information is added to Unit Rate List in the lower portion of the screen.

To Delete Unit Rate

  1. Select the Rate that you want to delete from the rate listing table found in the lower portion of the screen.

  2. Click on the Delete button.

  3. A message “Deleting this rate will affect existing reservations only if you modify the reservation. Are you sure you want to delete this Unit Rate” appears. Click on “Yes” if you are sure you want to delete this Unit Rate. Click on “No” if you do not want to delete this Rate.

To Exit the Unit Rate screen

Click on Close button to exit the screen.
